Time tracking at a glance

The short version, for anyone comparing options.

What it is
A free desktop app your worker installs on the machine they work from. It tracks time only while a shift is running.
What it records
Hours per shift, screenshots taken periodically through the shift, and an activity level from keyboard and mouse use.
Where you see it
Your employer dashboard → Remote Tracking: Screenshots, Schedules, Reports, Workers and Projects.
Who can see it
You, and the worker — they see their own screenshots and hours, never another worker’s.
Cost
US$0. Included on Free, Optimised and Elite. No per-worker or per-seat charge.
Set-up
Send a join link from your dashboard. The worker creates a free account and installs the app — about ten minutes.

From join link to first report

Four steps, and only two of them are yours.

  1. Day 0 · you

    Send the join link

Open your employer dashboard and send your worker a join link. It takes them through creating a free VirtualWorkers.Asia account and downloading the tracker app. That’s the only thing you do to get started — there’s nothing for you to install or configure.

  2. Day 0 · your worker

    Install and sign in

Your worker installs the app on the machine they’ll actually work from, signs in with their new account and sees the shifts you’ve scheduled. They press Start when the shift begins and Stop when it ends. Nothing is captured outside that window.

  3. Week 1 · you

    Set the schedule

Plan each worker’s shifts in a weekly grid — one-off or repeating — and assign each shift to a project. If you’d rather not fix hours, switch on flexible tracking for that worker and let them clock in when they start. You can also set a minimum number of hours per shift so a short day stands out in the report.

  4. Every shift · automatic

    Everything lands in your dashboard

While the shift runs, the app tracks time, captures screenshots and records keyboard and mouse activity. It all appears under Remote Tracking — by worker, by project and by day — and the weekly report tells you hours, projects worked and average activity for any date range you pick.

What’s in the Remote Tracking tab

Six views, one place — inside the employer dashboard you already use to post jobs and read applications.

Your worker sees exactly what you see

Every worker can open their own screenshots and hours from their dashboard. The record you see is the record they see — the same captures, the same totals.

That’s deliberate. Time tracking works when it’s open: it protects a good worker as much as it reassures you, and it takes the edge off the monthly “how many hours was that?” conversation because you’re both reading the same page.

What the worker can’t see is anyone else’s data — other workers’ screenshots, hours and team reports stay with you.

When to use it — and when not to

Use it when

The role is hours-based and you’re paying by the hour or for a fixed shift — customer support, admin, data entry, bookkeeping, a virtual assistant covering your inbox. Tracked hours give you an invoice you can check, and a new worker a clear record of their first month.

It also earns its keep when a worker is shared between two clients or projects and you need the hours split cleanly.

Skip it when

You’re paying for output — a developer shipping features, a designer delivering a brand, a writer on a per-article rate. Screenshots tell you little about work that happens in bursts of thinking, and activity levels punish people for reading.

Many employers on VirtualWorkers.Asia never switch it on. It’s an option, not a condition of hiring here.

Paid trackers are good tools. The point is that for most direct hires you don’t need one — the basics are already here and already paid for.

A record, not a verdict.

Screenshots and activity levels show you what was on screen and whether the keyboard was moving. They don’t measure judgement, care or the quality of a phone call. Use the tracker to check hours and settle invoices — and judge the work by the work.

Time tracker questions

Is the time tracker really free?

Yes. The VirtualWorkers.Asia time tracker is included on every employer plan, including the Free plan, with no per-worker or per-seat fee. Workers never pay for anything on VirtualWorkers.Asia, so the app is free for them too.

How does my worker get set up?

Send them a join link from your employer dashboard. It walks them through creating their free VirtualWorkers.Asia account and downloading the desktop tracker. Both steps have to be done before a shift can be tracked — there is nothing for you to install.

Does it run all the time?

No. It tracks only while a shift is running. Your worker starts the shift in the app and stops it when they finish; outside that window nothing is captured — no screenshots, no activity, no hours.

Does my worker know they’re being tracked?

Always. They install the app themselves, start each shift, and can open their own screenshots and hours from their dashboard at any time. There is no silent or hidden mode.

What does a screenshot show?

The worker’s screen at the moment of capture, taken periodically through the shift, plus an activity level calculated from keyboard and mouse use. You browse captures by worker, project and day in the Remote Tracking tab.

What is the activity level?

A percentage showing how much of the tracked time had keyboard or mouse input. It is a rough signal, not a productivity score: a worker on a phone call or reading a long document will show low activity while doing exactly the job you hired them for.

Can I use it with a worker I didn’t find on VirtualWorkers.Asia?

Yes. Any remote worker can create a free VirtualWorkers.Asia account through your join link and track shifts for you, wherever you originally found them.

Do I have to use it?

No. It is there if you want visibility on hours. Plenty of employers hire on VirtualWorkers.Asia and manage by output alone, and the tracker can be switched on later if that changes.

Hire direct. See the work.

Post your first job free and add tracking when your worker starts — it costs nothing on any plan.
